Overview

Gilbane Development Company is seeking a Commercial Property Manager to oversee, develop, assist and implement best practices to its commercial portfolio.  The Commercial Property Manager will oversee day-to-day functions with the objective of enhancing the underlying performance of Gilbane Development Company’s commercial property.

Responsibilities

  • Oversee the operation and preservation of the commercial portfolio including student housing properties, affordable housing properties, market rate housing properties and commercial properties;
  • Respond in a timely, thorough, and concise manner to questions and requests from both internal and external sources, owners and shareholders;
  • Oversee and review property’s profit and loss statements, downloading information for dashboard distribution, and ensuring regular distribution to executive level staff, ownership and shareholders;
  • Assist construction associates with Landlord work as necessary;
  • Negotiate leases with potential retail tenants and work with brokers to market property;
  • Assist third-party property management companies with commercial tenant eviction processing as necessary;
  • Work with third-party property management company maintenance staff to identify and remedy any and all deficiencies in a timely manner as necessary;
  • Ensure monthly financials packages are up to date and maintained in appropriate files;
  • Ensure all permits and licenses are up to date;
  • Work closely with the Asset Management Department to monitor and advise on financial health of each property in relation to commercial tenants, and interface with leadership to implement company financial directives;
  • Ensure revenues are timely collected and payments are properly processed by third party and in-house management, and work to improve systems to ensure and enhance current collections and operations;
  • Assist on-site managers and maintenance staff, third-party property management companies’, and properties managed in-house to ensure deadlines are met maintaining a professional demeanor;
  • Read, interpret, and advise on commercial proposals, leases and LOI’s received by third party and in-house managers, related to the portfolio;
  • Execute and manage on-site vender contracts as necessary.
  • Visit properties to inspect their condition, provide direction, and gauge adherence to lease and company standards;
  • Prepare annual operating budgets and income projections, including analysis of monthly expenses, to ensure they are accurately completed by third property managers;
  • Monitor and create spreadsheets regarding critical dates in the Property Management Portfolio (rent increases, lease expirations, lease compliance, commencements dates);
  • Ensure compliance with local, state and federal regulations;
  • Work directly with accounting on the commercial tenant reconciliation process;
  • Assist with ensuring Capital Improvement planning through recommendations, direction of budget, contracting and financial planning;
  • Submit invoices to accounting for approval;
  • Ensure high-level issues / disputes with tenants, vendors, and contractors, working with third-party property managers and outside legal counsel are internally reported to the appropriate Asset Manager;
  • Other Property Management related duties, as assigned;
  • Up to 10% travel required;
  • Oversee a team of less than 5

Qualifications

  • Bachelor’s degree or equivalent experience;
  • Minimum 3 years of commercial property management experience (experience in residential property management a plus);
  • Proven style of being proactive and multitasking among various projects and properties with organized, methodical system;
  • Strong history of fostering relationships with ownership and shareholders;
  • Excellent verbal, written and interpersonal communication skills to maintain professional demeanor;
  • Ability to work independently and on teams in a fast-paced environment;
  • Advanced skills in Microsoft Office and Excel skills;
  • RealPage experience a plus;
  • Strong analytical skills with high attention to detail and accuracy;
  • Strong organizational, time-management and prioritizing skills.

 

Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.    


For Providence, RI this ranges from $72,000 - $100,000 plus benefits and retirement program.
